Who handles your information

Information we collect and why

When you submit a quotation request, we collect your name, email, optional company and requirements, selected products and quantities, language, submission time and request status. We use this information to respond, prepare a quotation and follow up on your enquiry. Name, email and product selection are needed for direct submission; other fields are optional. Please do not include patient information or health records.

We process requests to take steps towards a contract when you enquire on your own behalf. For enquiries on behalf of an organisation, we rely on our legitimate interest in responding to business enquiries. We also use technical and security information to operate the website and prevent abuse, based on our legitimate interest in protecting the service. Legal obligations may require us to keep records if an enquiry becomes an order.

Who receives the information

Authorised BEAMBE staff can access requests. We use Supabase to store requests and manage administrator access; the database is hosted in its EU West region. The website is hosted through OpenAI Sites. If you email us, your message is handled by our email provider, OVHcloud. These service providers may process technical data or use subprocessors outside the European Economic Area under their applicable data-protection arrangements, including standard contractual clauses where required. Contact us for information about the safeguards applicable to your data. We do not sell your contact details or use quotation requests for automated decision-making.

When you open a quotation form with selected products, Cloudflare Turnstile checks technical browser and connection information to help prevent automated abuse. Its verification token is checked by our server before a request is saved. See Cloudflare’s privacy policy. If the check cannot load, you can prepare an email enquiry instead.

How long we keep information

We retain enquiry information for as long as needed to handle your request and related follow-up. The appropriate period depends on whether discussions remain active, whether the request becomes an order, and any applicable record-keeping or legal-claims requirements. You can contact us to ask about retention or request deletion of a particular enquiry.

Browser storage

Your browser stores your selected quotation products and language preference so they remain available when you return. You can remove these by clearing this website’s browser data. After a successful administrator sign-in, a rotating session refresh token is stored in sessionStorage for that browser tab, allowing the session to be restored after reloading. Signing out clears it. Closing the tab ends that tab’s stored session; expired or revoked sessions require a new sign-in. Infrastructure providers may also process connection and security logs to deliver and protect the website.

Your rights

You can ask to access, correct, erase or restrict use of your personal information, and request portability where applicable. You may object to processing based on legitimate interests. These rights have conditions and exceptions; we may ask for proportionate identity verification before responding. Contact info@beambe.be.
